Local GLBT community non-profit seeks flexible, outgoing detail oriented individual with proven experience in executing events, managing volunteers and donor programs. Ability to work as a team, under predetermined deadlines and handle multiple projects required. Administrative Assistant
This position is a 6-month Part-time position (30 hours per week for the period of February 2010 – July 2010). The first six months are part – time and will be considered a probationary period. The job may become a fulltime position following that period.
The Administrative Assistant shall be responsible for assistance in planning the 2010 Pride Celebration, the Lavender Listings project and other administrative operations with regards to the community center and its programming. This person will be under the direction of the Executive Director and will work closely with the office manager and center coordinator.
The following duties shall include:
Special Events – 50%
Assist with all Stonewall special events related to pride activities and additional events during the employment period.
Responsible for coordinating and organizing all of the Pride volunteers.
Assist the office and facilities manager with database management to track donor, vendor and volunteer information.
Maintain all event files including permits and contracts.
Coordinate and manage the administrative functions related to all special events associated with Pride.
Assist with creating marketing materials to support events. A marketing firm has been engaged to develop the materials however the administrative assistant will have input and will coordinate distribution.
Maintain relationships with vendors and officials as it related to the Pride Festival and March. Place follow-up calls to all vendors, exhibitors and float applicants.
Complete and send all documentation/permits necessary for the event to the proper city departments.
Work with the volunteer committee and center coordinator to order all of the rental equipment for the festival and parade working within the specific budget guidelines set by the Executive Director.
Lavender Listings Duties – 25%
Assist with developing business prospects for advertising.
Follow-up with contracted advertisers concerning contract details and ad specifications
Assist the office manager / Lavender Listings project manager to complete the project in a timely manner
Assist with distribution of the Lavender Listings books.
Development – 10%
Responsible for filling merchandise orders for pride participants and donors
Responsible for developing new prospects for advertising.
Communications – 10%
Work with Executive Director on all public relations documents and initiatives related to events and the center.
Work with the staff to follow-up on event and program participants
Operations and Other Duties – 5%
Provide requested reports for Executive Director and Board
Participate in fundraising activities hosted by Stonewall Columbus as requested
Conduct oneself in a professional manner with a commitment to teamwork
Other duties, as assigned by the Executive Director
Requirements and Qualifications:
Event experience a must; prior work in non-profit required
Able to work in a fast paced environment; able to multi-task
Strong communication and organizational skills required
Fundraising and prior volunteer experience preferred
Ability to negotiate contracts with vendors
Flexibility and ability to assist others as needed
Must get along well with others and enjoy working with various types of people
Experience with delivering excellent customer service
Automobile with applicable insurance
Experience in event planning is required.
Compensation: This position is a part – time position for which the majority of hours spent will be at the community center. Weekend and evening hours are required. Must be available for extra hours during the week of Pride, June 12-20, 2010.
