Building & Operations Coordinator

 

Department: Administrative Operations Reports To: Manager of Business & Infrastructure
FLSA Status: Non-Exempt Position Supervised: N/A

Job Status: Part-time Amount of Travel Required: 5%

Compensation Range: $18 – $21/hr (based on experience/education)

Schedule: Up to 20 hours per week, overtime (as approved by Manager), weekend availability (as needed), increased hours during Pride season (May and June)

POSITION SUMMARY

The Building & Operations Coordinator position requires a thoughtful communicator, both verbally and written; a multitasker who is organized with effective time management skills; an individual that demonstrates a willingness to learn and adapt; someone who strives for the highest standards of behavior, detail orientation, collaboration, and work ethic. The schedule for this position requires weekday/evening hours as well as weekend coverage for rented events.

ESSENTIAL FUNCTIONS

Learn and understand the Stonewall Columbus organization and the Columbus community to best support internal business & infrastructure operations in relation to Stonewall’s mission. The ideal Building & Operations Coordinator will support Stonewalls’ operational team, focusing on administrative task for event coverage, and ensuring daily infrastructure functions are met as assigned work to ensure events are set-up, tore down, for activities at the Stonewall Columbus Center. Must be an individual who embraces innovation and continuous improvement, welcoming the challenge of finding creative ways to work smarter and connect with the community.

Administrative Operations 30%

  • Supports organizational operations by maintaining office
  • Compile information, assist in reporting, and identify gaps and emergent
  • Handles basic office duties such as responding to emails, maintaining client records, data entry, and reporting.
  • Support internal staff by facilitating interdepartmental communications and interactions between internal and external vendors/parties.
  • Assists in the maintenance of the Center reception area by answering community member questions, complying with procedures, rules, regulations.

Meeting/Event Support 30%

  • Represent the Center, through oral and written
  • Conduct Center site
  • Set-up scheduled events at the Center and conduct post-event cleanup, such duties can include the following: deliver refreshments and food; setup and take-down of bars; move, arrange, and/or remove furniture; setup and take down of AV equipment; general cleaning duties; review of inventory of items used for event; inspect the space of the event for damaged areas; organize and clean areas, etc. Ensuring that all areas are returned to pre- activity status.
  • Check room set up prior to guest arrival, ensuring all details align with clients’ requirements and center standards. Confirm deficiencies are corrected appropriately.
  • Work in a timely manner to execute confirmed Event Orders (EO) and contracts, as directed by internal staff.
  • Staff select events as scheduled with supervisor

Building & Infrastructure Support 30%

  • Inspect and maintain overall building and grounds appearance to ensure a high standard of cleanliness and safety.
  • Act when an unclean area is noticed; engage the cleaning crew and follow up to ensure the job has been completed.
  • Coordinates with the internal staff to ensure spaces are prepared for upcoming events/programs including setup and take down for specific room usage in a timely manner, (i.e. Setting up tables and chairs in the manner directed by staff, clear floor areas of all furniture for physical activity classes.)
  • Organize and maintain inventories of event rental
  • Assist in the maintenance of a safe, clean space for all activities including maintaining restroom facilities as needed during activation of the building for Stonewall events.
  • Secure building at the end of the activities/events. Check that ALL doors/entrances are locked and secure.

Advancement Operations 10%

  • Assist with external tabling opportunities as needed, representing the Center and aligning community needs with programming resources.
  • Provide Development team support for select organizational fundraising programs including sign-ups sheets and logistics as needed.

SKILLS & ABILITIES

  • Education: Associates degree in human services
    • OR – High school diploma or equivalent with three years’ experience (see below)
  • Experience: Experience supporting the LGBTQ+ community or a related public sector human services field.
  • Computer Skills: Proficiency with computer programs necessary to complete the above tasks included Outlook, Mailchimp, Salesforce, and other applicable systems.
  • Driving and Background Check: Must have a valid Ohio driver’s license, proof of automobile insurance, and pass a criminal background check.

WORK ENVIRONMENT

This position is fully in-office, including weekend coverage (as needed) and the opportunity to flex scheduling with volunteer support.
