POSITION SUMMARY

The schedule for this position requires weekday/ some evening hours as well as occasional weekend hours to manage activities to benefit the organization.
The Administrative Operations Manager serves as the first point of contact for community members, visitors, and partners of Stonewall Columbus. This role ensures a welcoming, affirming, and professional environment at the Center, while also providing administrative support across the organization.
The ideal candidate will be detail-oriented, organized, and committed to creating an inclusive and positive experience for all who engage with Stonewall Columbus.
ESSENTIAL FUNCTIONS
Learn and understand the Stonewall Columbus organization and the Columbus community in an effort to best support community programs in relation to the Stonewall mission. Must be an individual who embraces innovation and continuous improvement, welcoming the challenge of finding creative ways to work smarter and connect with community.
Front Desk & Visitor Experience Management (50%)
- Monitor visitor flow and facility usage, escalating concerns when necessary.
- Oversee daily front desk operations, including phone, email, and in-person inquiries; tasks such as mail distribution, office supply inventory, vendor coordination (orders and deliveries), and room scheduling.
- Maintain a safe and orderly front desk and lobby space, ensuring materials are accessible and updated.
- Ensure internal administrative tools (Outlook, digital filing, and databases) are maintained are consistently updated.
- Serve as the primary point of coordination for organizational forms, records, and data entry.
- Support daily building operations, including visitor check-in, and opening and closing procedures.
- Support staff onboarding with building orientation, front desk training, and visitor services protocols.
- Work closely with Administrative Operations, Business Development, Community Programs & Learning, and the Stonewall Café/Events Team to ensure Center operations are coordinated and aligned.
Volunteer Engagement & Coordination (20%)
- Supervise front desk volunteers and interns to maintain a welcoming, affirming visitor experience.
- Train staff and volunteers on customer service standards, accessibility practices, and emergency protocols.
- Ensure the lobby and community spaces reflect Stonewall’s values and remain clean, safe, and inviting.
- Lead recruitment, onboarding, training, scheduling, and stewardship of Center volunteers.
- Manage volunteer participation for front desk coverage, community programs, rentals/events, and special initiatives.
Administrative Operations Support (20%)
- Assist with day-today administrative workflows, including inventory management, supply requests, recordkeeping, and internal documentation.
- Support coordination of building access, room reservations, and internal scheduling.
- Participate in safety, accessibility, and facility operations planning alongside the Director.
- Assist with implementation of new administrative systems, tools, and processes that improve Center operations.
Event & Facility Logistics (10%)
- Provide onsite operational support for Stonewall programs, community gatherings, rental clients, and internal events.
- Coordinate meeting room setup, support AV/tech needs, and assist with spacing.

SKILLS & ABILITIES
- Education: Bachelors in human services, social work, psychology, or sociology field; preferred.
- Or Associates Degree, with 2 years of customer service experience
- Experience:
- 3 years direct experience in operations, visitor services, volunteer coordination, customer service, or community center roles preferred.
- Experience in community-based or nonprofit environments is strongly preferred.
- Computer Skills: Proficiency with computer programs necessary to complete the above tasks including Outlook, and other applicable systems.
- Driving and Background Check: Must have a valid Ohio driver’s license, proof of automobile insurance, and pass a criminal background check
